Information about your hotel break

Please note that, unless stated otherwise, the information and conditions of booking detailed here apply to any bookings with Park Resorts. Please call if you are unsure of anything within these Terms & Conditions.All bookings are subject to acceptance of these Terms & Conditions and to availability.


Website accuracy

We take every care to ensure that the details on this website are accurate at time of going live. Pricing errors can occasionally be made, if you happen to spot an error we are under no obligation to honour this price. Photographs are intended for guidance only.

Great family holidays

Park Resorts and their facilities are intended for family holidays. We are therefore sorry that we can not accept any parties of single people under the age of 18. Other parties of young people are accepted only at the Company's discretion. Please note that if you look younger than 21, you may be asked to prove you are over 18. We will accept a passport, photographic driving licence or a valid proof of age card.


Special requirements

If you have any special requests, please advise us when making your booking. You will then need to confirm your request in writing either by post or email. Please include your telephone number in case of any query. We will endeavour to meet your requests, however this can not be guaranteed and is not a condition of booking.


Guests with disabilities

We are happy to provide as much advice and information as possible to people with disabilities who wish to stay with us. It is important that you talk to the Park direct or our reservations team before making the booking as, for example, not all rooms are suitable for guests with disabilities and wheelchair access may be limited. The rural nature of the Park may make it unsuitable for wheelchair users. All requirements must be confirmed in writing or email and are subject to availability. Special requests can not be made a condition of your booking as they are always subject to availability.


Dogs and other Pets

Please note that dogs and pets are not permitted at Southview Hotel.


Children

Children remain the responsibility of their parents or guardians at all times, as they do at any of our activities or facilities. The club activities form part of our entertainment programme, and are not childcare facilities. We do not provide supervision of the children during sessions.


It is important that you always know where your children are, and that you know the times that the activities start and finish. It is particularly important that you make sure that your children understand that they should always obey the instructions of the Teamstars, The Mix Leaders, Sports Instructors and Lifeguards, so that the possibility of accidents can be reduced.


Your Holiday Environment

It is advisable to acquaint yourselves with your holiday environment as soon as you arrive. Walking over grassy and often undulating ground, or through wooded parkland may also be unfamiliar, and contain aspects of wildlife such as rabbit holes that you and your children need to avoid.


Local Authority planning constraints, that help to preserve the rural nature of the Parks, also limits the amount of street lighting that can be provided at some locations for the same reason. It is also intentionally reduced to assist our guests in having a pleasant night's sleep. Street lighting directly around the touring fields is kept at a low level to assist children to sleep at night. So please take care when walking around the Park and remember that you are in an unfamiliar environment, particularly at night. It is always advisable to carry a pocket torch to assist you and to avoid any holiday accidents.


In line with current legislation, please note that with effect from July 1st, 2007 all Park Resorts Holiday Parks in England, Wales and Scotland follow the new legislation meaning that all their venues are designated non-smoking areas.


Please take care

Please treat the property, facilities and accommodation at your Park with respect and care so that other guests may continue to enjoy them. In the event that you notice damage to any facility or in your room please report it to reception immediately so that we can take appropriate action.


Rooms will be inspected at the end of the break and you may be charged for any loss or damage found. We reserve the right to enter rooms under any special circumstances or emergencies.


Licensing Laws

In accordance with UK licensing laws, we can only sell alcohol to persons aged 18 or over. We may require you to show proof of age using an approved form of identification. We accept the following forms of ID at Park Resorts: full passport, a new style driver's licence incorporating a photograph, a valid proof of age card.


Smoking Policy

In line with current legislation, please note that with effect from July 1st, 2007 all Park Resorts Holiday Parks in England, Wales and Scotland follow the new legislation meaning that all their venues are designated non smoking areas.


Use of your room

Only those people listed on the booking can occupy your room and use the facilities of the Park. If this legal requirement is not met, your booking will be terminated and you will be asked to leave, with no refund made.


Unreasonable behaviour

For the convenience of our guests, we reserve the right to terminate your break without compensation or refund, where the unreasonable behaviour of the persons in the party might impair the enjoyment, comfort or health of other guests, our team members or staff. This may include but is not limited to verbal or physical abuse, and will be up to the management's discretion.


Infectious diseases

Infectious or contagious diseases could easily be passed to other guests while on holiday. You must inform the Duty Manager should you contract any such illness while on holiday. In order to protect our guests and staff, anyone found to have such a condition may be confined or requested to leave the Park. Please note that in such circumstances we are unable to offer refunds and we therefore recommend you take out your own insurance.


Prices

We reserve the right to withdraw or change prices at any time, and increase prices where there is an increase in Value Added Tax or any other tax applicable to your break. Please note that all prices shown are inclusive of VAT at the rate of 20%. Please note brochure prices and charges are subject to change and may go up or down in response to changing market pressures. 'Many prices held for 2012' are based on the equivalent 2011 brochure prices and dates.


Please Note: Discounts and promotional offers may be made in conjunction with this website. Such discounts include VAT at 20%. All offers are subject to availability and we reserve the right to withdraw or change these prices at any time. Please write to us if you require further information.


Availability of facilities and entertainment

On Park entertainment and access to facilities is included in the price of your booking, unless otherwise stated.


All holidaymakers' names are registered at the Club on the Park. Indoor and outdoor swimming pools are subject to seasonal opening times. Please contact the park directly for details. Please note that guests must be over one metre tall to use our swimming pool flumes. Children under 8 years old must be accompanied by an adult in the swimming pool. Please note that session bathing may apply at certain parks. Other facilities may also have height and age restrictions. Please check at the time of booking. You will receive entertainment passes appropriate to your party size. These must be carried at all times, as our staff carry out regular and random checks when entering the facilities.


The operation of our Parks is subject to legislation and the guidelines set out by the Health & Safety Executive and Local Authorities and their codes of practice. We accordingly reserve the right to adjust our services in order to meet these standards. It is possible that in some circumstances accommodation, entertainment or a facility may have to be temporarily withdrawn, due to maintenance, renovation, adverse weather conditions, changes in governmental legislation, or any other factor outside our control.


We reserve the right to make such alterations in the above circumstances without prior notice, and are unable to accept liability for the loss of an advertised facility, or to pay compensation for any inconvenience caused. Should changes occur, we will advise of these changes, where made prior to booking and will use reasonable endeavours to advise guests already booked of any changes made after their booking and before their break commences.


TV filming and photography

Due to the increasing popularity of Park Resorts Holidays we often receive requests from TV and other companies to film or photograph on our Parks, including shooting our own promotional material. Every effort is made to ensure filming or photography does not intrude on your break and we will always endeavour that it is made clear to guests when taking place. Consent will be sought to film or photograph individuals before it takes place by the company taking the film or photographs, but please ensure that you and your family are aware of positioning of cameras at all times. We will not accept responsibility if, contrary to your wishes, you appear on film or in photographs. We will not make any financial award or payment of any kind. No photography is allowed to be taken in the swimming pool areas, unless organised by Park Resorts for promotional purposes and with the consent of the individuals being photographed.


Data Protection

The information you give us in connection with your booking is held securely on our computer system and dealt with in accordance with the Data Protection Act. By providing us with the information you are deemed to accept this and to have the consent of all members of your party to this. We keep this information to help us improve our service to you and to provide you with information about our holidays by telephone, e-mail and post. If you have registered to receive news and special offers by post, email, or sms, by any means other than booking then we will contact you by your preferred contact method to keep you informed of our latest news and offers. If you would prefer not to receive this information from Park Resorts then please contact us at Park Resorts Ltd, Swan Court, Waterhouse Street, Hemel Hempstead, Herts, HP1 1FN.


We will not disclose this information to any person outside Park Resorts Ltd, other than our agents and contractors for the purpose of carrying out your instructors, unless we are legally required to do so or for the purpose of crime prevention. We use CCTV cameras at some locations at our holiday parks for crime prevention and safety reasons.

If you have a comment

If you are dissatisfied with any aspect of your booking, please speak to the Hotel Reception staff. In most cases they will be able to help you immediately and resolve your issue, so that you can enjoy the rest of your stay. However, if you are still dissatisfied, you should then request to see the Duty Manager and record your complaint with them. If, at the end of your stay you feel that we have not dealt with your complaint satisfactorily, please write to the Customer Services Department at our Hemel Hempstead office (Swan Court, Waterhouse Street, Hemel Hempstead, HP1 1FN) or email customerservices@park-resorts.com, no later than 28 days after the end of your stay. We are only able to take action on any complaints that are first brought to the attention of the Reception Team and Duty Manager whilst you are on your break and secondly received in writing within 28 days, unless there are exceptional circumstances. It is necessary for Park Resorts to impose these limitations so that we have the opportunity to solve the problems experienced fairly and effectively.

How to Secure your Booking

The room element of your booking must be paid at the time of booking. Please bring your final confirmation with you and present it on arrival. As part of our drive to become a greener company and help the environment, we are trying to move our communications online, therefore we reserve the right to charge a postal admin fee.


Please note we do not accept cash on arrival.


Enjoy the speed and convenience by paying by debit or credit card. There is no charge for payments made by debit cards. Because we incur credit card charges when you book, we do charge just 1.5% for all credit card payments to help cover this cost. The cost is subject to change. Payment can be made by cheque, which must be received within 5 working days of making your provisional booking. Cheques should also be made payable to Southview Leisure and sent to the Hotel Reception. Please ensure the name of the person making the booking and your holiday reference number is clearly written on the back of the cheque.


Conditions of Booking

The Holiday Contract
The person who books the holiday by telephone, internet or travel agent will be accepting the booking conditions on behalf of the holiday party. A contract between you and Park Resorts will come into existence when you have made your booking by telephone, online via the internet or through your travel agent


If you have made your booking by telephone we will provide you with a booking reference number via the phone.


If you have booked online over the Internet we will tell you over the Internet that your booking is confirmed by providing a booking reference number. You will also receive email confirmations confirming your reservation, payment success and completion of your booking.


If you make your booking through a travel agent, your travel agent will inform you that your booking is confirmed.


The contract binds you and all the members of your party. It is your responsibility to ensure that all members of your party accept the terms of the contract set out in these terms and conditions of booking. Failure to disclose all relevant information or comply with these terms may lead to termination of the contract and loss of the booking.


We reserve the right to decline or terminate the booking of any guest(s) whose party make-up or behaviour interferes or may interfere with the general comfort of other guests. In this event no refunds will be made. This may include, but is not limited to, verbal or physical abuse and will be up to the management's discretion. We cannot be held responsible for other people's behaviour whilst you are staying with us.


Changes to your Holiday by you

After you have paid your deposit you may wish to change some elements of the holiday, e.g. type of accommodation or lead name. We will try to meet your request, however, an administration charge of £10 per alteration to the holiday may be payable. Substantial changes, such as a change of location or holiday date will be treated as a cancellation (see below).


If you cancel your booking

If you cancel your booking the first nights stay will be non refundable - any nights after will be refunded in full. In the case of a no-show any amount paid is non-refundable. Please be aware refunds can take up to 10 working days to reach your account. If you wish to cancel or move your booking please contact the hotel


It may be necessary to cancel your stay due to illness, accident or change of circumstances.


As soon as you know you need to cancel, call Southview on 0843 308 8765 (calls charged at standard national rate), or see your travel agent and confirm the cancellation in writing.

Changes to your booking during your stay

We always do our best to limit changes to your booking during your stay, however we cannot accept responsibility or compensation for circumstances such as *force majeure.
*Force Majeure means circumstances beyond our control including (but not limited to) industrial disputes, natural disasters, fire, technical problems, bad weather and acts of government.


If we make any major alterations to your booking

We try very hard to provide all facilities and entertainment as advertised in our brochure and website. It may however be necessary to make some alterations in advance of your booking. If such a change is necessary, we will endeavour to advise you, or your travel agent in writing as soon as possible, and give you the options in the section entitled 'If we cancel your booking'. For minor or last minute alterations, please see the section entitled 'Availability of facilities and entertainment' above.


If we cancel your booking

We always endeavour not to change the date or cancel your booking, but in exceptional circumstances this may be necessary. We will inform you of the change of date or cancellation as soon as possible and give you the following options:


  • accept the alternative arrangements as notified to you
  • choose another available break from us at the advertised price
  • cancel your holiday with a full refund of any money you have paid
  • In other circumstances, including those arising from force majeure*, we do not pay compensation.

* Force majeure means circumstances beyond our control including (but not limited to) industrial disputes, natural disasters, fire, technical problems, bad weather and acts of government.


Limitation of Liability

We accept responsibility for those arrangements for your holiday that are within our control, but we cannot accept liability for any injury, loss or damage suffered by you or any member of your party, unless one of the following applies:


  • there was wilful default by us, our employees or agents; or
  • death or personal injury was caused by the negligence of Park Resorts, our employees or agents.

Please note that your personal belongings are your responsibility at all times and we cannot be held responsible for any loss or damage. No action can be taken in respect of any complaint not brought to the attention of the Park Duty Manager. Please see the section entitled 'If you have a comment' for full details of our customer services policy.


Local attractions

We accept no responsibility for information relating to local attractions, including details of distances, timings and activities. We provide this in good faith for information purposes only but make no recommendations in respect of any attraction, have not verified that the listed details are accurate or up-to-date and accept no responsibility for any reliance by you on them. You must make your own arrangements (including, where appropriate, having any necessary insurance in place) regarding the attractions with the operators and local tourist board information centres. Where we list attractions on this website we do not do so as an agent for the owner or operator of any attractions and so have no liability for any loss or damage suffered by you whether in contract or negligence as a result of any reliance on the information contained herein, or for any loss or damage suffered by you in visiting or purchasing any ticket for any such attraction.


Group bookings

If you come away with friends or family members, a special occasion, a trip away with your club, association or even a large event, we can help make your next group holiday extra special! We welcome small to large groups for weekend and midweek short breaks or 7 night stays.
